Importing Data
Learn how to migrate leads and sales into OfficeHubb from CSV, XLSX, or PDF files.
OfficeHubb lets you migrate existing leads and sales records into your account in bulk.
Supported file formats

How it works
- Open the Import dialog from Pipeline or Settings.
- Choose Leads or Sales.
- Upload your file (CSV, XLSX, or PDF up to 10,000 rows / 5 MB for PDF).
- OfficeHubb uses AI to normalize column names and data automatically — or flip on Map columns manually if you'd rather match them yourself.
- Preview the results: each row is marked Ready, Invalid, or Duplicate.
- Optionally toggle Skip duplicates (on by default) and Send to archive (leads only).
- Use Dry run to validate without saving anything.
- Click Import to commit the records.
Importing from a custom board sends the leads to that board's entry stage; importing from the Sales Pipeline distributes them by round robin.
Duplicate detection
- Leads: matched by email, then phone, then name.
- Sales: matched by policy number + date, or by agent + premium + date.
Duplicates are flagged during preview so you can choose to skip or import them anyway.
Reverting an import
In Settings → Recent Imports you can revert any past import (leads or sales). This permanently deletes the records created by that job.
Lead vendors
If you buy leads, your vendor can deliver them straight onto your pipeline through a webhook — no files, no manual entry. Ask support for your agency's webhook details.
Tips
- Column names don't need to match exactly — the AI maps them automatically.
- If the AI can't parse a row, it shows up as "Invalid" in the preview.
- PDF extraction works best with cleanly formatted tables. For complex layouts, export to CSV first.
